An ERP that suits a ten-person company can look very different on the invoice once that company has fifty people.<\/span>\u00a0<\/span>More staff need logins. A second warehouse opens. Production gets more involved. And sooner or later, the sales team wants every online order to land in the ERP without anyone retyping it.<\/span>\u00a0<\/span><\/p>\n

That’s the point where comparing SAP Business One and Odoo gets interesting.<\/span>\u00a0<\/span><\/p>\n

Odoo’s subscription model often looks like the cheaper way in, especially for small firms that want accounting, CRM, inventory and sales under one roof. SAP Business One tends to come up when a company wants finance and operations tightly linked, with an SAP partner handling the rollout and support.<\/span>\u00a0<\/span><\/p>\n

But the starting price only tells you so much.<\/span>\u00a0<\/span><\/p>\n

So which one costs less over five years?<\/span><\/b>\u00a0<\/span>\u00a0<\/span><\/h2>\n

Honestly, neither wins by default. It comes down to how many users you’ll have, which licence types they need, how much implementation work is involved, and what you’ll spend on integrations, hosting, customisation and support.<\/span>\u00a0<\/span><\/p>\n

A low monthly fee can stay low for years. A bigger upfront investment can save you headaches later. And sometimes it works the other way round.<\/span>\u00a0<\/span><\/p>\n

For a growing SME, the useful question isn’t “What does this ERP cost today?” It’s “What will we have to spend to keep it working as we grow?”<\/span>\u00a0<\/span><\/p>\n

Why do the first quotes look so different?<\/span><\/b>\u00a0<\/span><\/h3>\n

Picture two companies asking for ERP quotes.<\/span>\u00a0<\/span>One is a distributor with ten staff, one warehouse and simple buying and selling. The other is a manufacturer, also with ten staff, but with complex production, lots of product variants and plans to sell abroad.<\/span>\u00a0<\/span><\/p>\n

Same headcount. Completely different requirements.<\/span>\u00a0<\/span>That matters, because Odoo and SAP Business One are priced in quite different ways.<\/span>\u00a0<\/span><\/p>\n

<\/b><\/b><\/b><\/b><\/b><\/b><\/b><\/b>How Odoo pricing works<\/span><\/b>\u00a0<\/span><\/h3>\n

Odoo offers a free one-app plan, a Standard plan and a Custom plan. According to <\/span>Odoo’s pricing page<\/span><\/a>, the paid plans give you access to its full suite, including accounting, inventory, sales, CRM, manufacturing and e-commerce.<\/span>\u00a0<\/span><\/p>\n

When we checked, the US pricing page showed these annual-billing rates:<\/span><\/p>\n

Keep in mind that these are US dollar list prices for annual billing, not a quote for Germany. Odoo also shows higher reference prices next to promotional ones, so check which rate actually applies and what happens at renewal.<\/span>\u00a0<\/span><\/p>\n

Odoo says its subscriptions cover standard hosting, maintenance and support. What’s not automatically included: implementation services, maintenance of custom code, some usage-based services and Odoo.sh hosting.<\/span>\u00a0<\/span><\/p>\n

That gap starts to matter as soon as you need more than the out-of-the-box setup.<\/span>\u00a0<\/span><\/p>\n

<\/b><\/b><\/b><\/b><\/b><\/b><\/b><\/b>How SAP Business One pricing works<\/span><\/b>\u00a0<\/span><\/h3>\n

With SAP Business One, you pick user licence types based on what each person actually does. You can run it on-premise or in a partner-hosted cloud.<\/span>\u00a0<\/span><\/p>\n

There’s no single central price list like Odoo’s. Instead, a quote is built from three parts: licences, deployment and implementation.<\/span>\u00a0<\/span><\/p>\n

A few conditions apply. The Starter Package is capped at five users. Limited Users get access to one role area (CRM, financials or logistics), and you need at least one Professional User alongside them. The cloud plans run for a minimum of one year.<\/span>\u00a0<\/span><\/p>\n

We also offer perpetual licences and fixed-price implementation packages starting at \u20ac500. A bigger project with data migration, integrations or major process changes will need more than a starter package, though.<\/span>\u00a0<\/span><\/p>\n

The key takeaway: a subscription price and the full cost of an ERP project are two different numbers. Before comparing anything, find out exactly what each quote includes.<\/span>\u00a0<\/span><\/p>\n

What happens when you grow from 10 to 50 users?<\/span><\/b>\u00a0<\/span><\/h3>\n

User growth is one of the easiest costs to underestimate.<\/span>\u00a0<\/span>You start with ten people in the system. Three years on, finance has grown, the warehouse scans every pallet, purchasing has new hires and there’s a second sales office. Suddenly thirty or forty people need some kind of access.<\/span>\u00a0<\/span><\/p>\n

Does your software bill quadruple? Not always.<\/span>\u00a0<\/span><\/p>\n

<\/b><\/b><\/b><\/b><\/b><\/b><\/b><\/b>With Odoo<\/span><\/b>\u00a0<\/span><\/h3>\n

Odoo charges mainly by paying user and plan, so the first calculation is simple.<\/span>\u00a0<\/span>The catch is in the definition of a “paying user”. Portal users don’t need a paid subscription, and Odoo also has a more limited Light User category. So don’t just multiply your headcount by the list price. Work out who really needs full access.<\/span>\u00a0<\/span><\/p>\n

The plan itself can change, too. A company that’s happy on Standard may need Custom later for multi-company, external API access or deeper customisation. That switch affects the monthly cost for every user, not just the new ones.<\/span>\u00a0<\/span><\/p>\n

<\/b><\/b><\/b><\/b><\/b><\/b><\/b><\/b>With SAP Business One<\/span><\/b>\u00a0<\/span><\/h3>\n

Not everyone needs a Professional licence.<\/span>\u00a0<\/span>Your finance manager probably does. Someone in the warehouse or a sales rep who only works in one area often doesn’t. Matching licences to real job roles can make a noticeable difference to the monthly total.<\/span>\u00a0<\/span><\/p>\n

Just check the permissions carefully. A cheaper licence is no saving if it stops someone from doing their job.<\/span>\u00a0<\/span><\/p>\n

<\/b><\/b><\/b><\/b><\/b><\/b><\/b><\/b>A quick worked example<\/span><\/b>\u00a0<\/span><\/h3>\n

The table below is subscription arithmetic only, not the full cost of an ERP.<\/span>\u00a0<\/span>We’ve assumed Odoo Custom at $49 per paying user per month. For SAP Business One, we’ve used our cloud rates after the first year, with 20% Professional and 80% Limited Users. The SAP figures assume one particular licence mix, not a real quote. The Odoo figures assume every user pays the full Custom rate, with no Light User savings or special terms.<\/span>\u00a0<\/span>Neither column includes implementation, extra integrations, custom development or your own team’s time.<\/span>\u00a0<\/span><\/p>\n

What the table does show is why growth belongs in your ERP evaluation. What it doesn’t show is which system is cheaper over five years.<\/span>\u00a0<\/span>The practical lesson: plan around the people and processes you’ll have in three to five years, not just the ones you have today.<\/span>\u00a0<\/span><\/p>\n

<\/b><\/b><\/b><\/b><\/b><\/b><\/b>Do manufacturing, extra warehouses or e-commerce change the picture?<\/span><\/b>\u00a0<\/span><\/h3>\n

Yes, and often more than extra users do.<\/span>\u00a0<\/span>A business can grow its revenue without hiring many more people. But its operations can still get a lot more demanding.<\/span>\u00a0<\/span><\/p>\n

Take a distributor that buys finished goods and ships them from one warehouse. Two years later, it’s assembling some products itself, running several stock locations and taking orders from an online shop. Now the ERP has to tie together purchasing, stock, production, fulfilment and finance.<\/span>\u00a0<\/span><\/p>\n

Both SAP Business One and Odoo cover these areas. The real difference is how much setup, integration and add-on functionality your particular business will need.<\/span>\u00a0<\/span><\/p>\n

<\/b><\/b><\/b><\/b><\/b><\/b><\/b>Manufacturing: from simple assembly to production planning<\/span><\/b>\u00a0<\/span><\/h3>\n

Manufacturing raises questions a basic accounting tool can’t answer. Which raw materials do we need for next week’s run? Are the parts in stock? What does the finished product really cost us? And what happens when material prices go up or there’s more scrap than planned?<\/span>\u00a0<\/span><\/p>\n

SAP Business One handles bills of materials, production orders, inventory and material requirements planning (MRP) as standard. Odoo also offers bills of materials, manufacturing orders, work centres and related inventory features.<\/span>\u00a0<\/span><\/p>\n

The cost difference depends on how you produce. If you assemble fairly simple products, the standard features may be enough. If you need advanced scheduling, specialised quality checks or tight shop-floor integration, expect extra configuration or extensions, whichever system you choose.<\/span>\u00a0<\/span><\/p>\n

Our tip:<\/span><\/b> ask both vendors to demo the same production scenario, using your real products, materials and costing rules.<\/span>\u00a0<\/span><\/p>\n

<\/b><\/b><\/b><\/b><\/b><\/b><\/b>Multiple warehouses: more locations, more decisions<\/span><\/b>\u00a0<\/span><\/h3>\n

A second warehouse looks simple on paper. The trouble starts once stock begins moving back and forth between the two sites.<\/span>\u00a0<\/span><\/p>\n

Suddenly everyone needs a different answer from the system. Sales wants to know what can go out the door today, and from where. Purchasing has to decide what to reorder and which site it should be delivered to. The warehouse team has to log every receipt, transfer, pick and dispatch correctly, or the numbers stop adding up very quickly.<\/span>\u00a0<\/span><\/p>\n

Both SAP Business One and Odoo can handle several warehouses out of the box. Things get more involved in the day-to-day work: scanning barcodes on a handheld, smarter picking, real-time warehouse execution, or allocating stock by complex rules. Any of these can mean extra software or integration work.<\/span>\u00a0<\/span><\/p>\n

E-commerce: when online orders start causing ERP problems<\/span><\/b>\u00a0<\/span><\/h3>\n

Let’s say the distributor opens a Shopify or Magento store.<\/span>\u00a0<\/span>In the first few weeks, there might be five or six orders a day. Someone in the office types them into the ERP, and nobody minds much. Then sales pick up. Thirty orders a day, then a hundred, and the copying turns into a full-time job with plenty of room for typos.<\/span>\u00a0<\/span><\/p>\n

Now the shop and the ERP have to talk to each other properly. Product data, stock levels, customers, orders, shipping status and returns all need to flow across without anyone retyping them.<\/span>\u00a0<\/span><\/p>\n
